How to Safely Buy Building Materials and Home Furnishings in Poland

Safe purchasing does not mean avoiding every new company. It means knowing who receives your money, exactly what you are buying, which documents you will receive and what happens if the order does not go to plan.

A good price becomes a benefit only when it is backed by a real product, correct documents and a seller who remains responsive after payment.

1. Confirm that the company exists and trades

Basic details of Polish businesses can be checked in the public CEIDG or KRS registers. Compare the name, address, registration numbers and authorised representatives with the quotation. VAT status and reported bank accounts can be checked in the official VAT taxpayer list.

A register entry does not guarantee quality, but inconsistent data must be explained before payment.

2. Look beyond the website

Check whether there is a physical showroom, office or warehouse.
Consider how long the company has operated and whether contact details are consistent.
Speak to the person responsible for the order.
For specialist products, ask about manufacturer authorisation or product origin.
Do not rely on online reviews as the only evidence.

A professional website can be created quickly. Security comes from verifiable data, documents, real contact and experience with similar orders.

3. Compare complete quotations

A quotation should identify the exact model, variant, colour, quantity, price, VAT, delivery cost, lead time, payment terms and responsibilities. Made-to-measure items require approved drawings or specifications.

Two quotations may look similar while one excludes transport, accessories, export packaging or essential installation components.

4. Question an unusually low price

A lower price may reflect a discount, different model, discontinued line or smaller scope. It may also mean missing components or a product the seller has not yet secured.

Ask for an explanation. A reliable seller should be able to explain the difference.

5. Do not pay a large deposit without documents

Verify the recipient and bank account.
Obtain written order confirmation.
Agree the timeline and rules for cancellation or changes.
For a large amount, consider staged payments where available.
Keep the quotation, receipt and correspondence.

6. Agree the export process before buying

Not every shop wants or knows how to serve a customer outside the EU. Before payment, establish who will be the exporter, which documents the shop will provide and whether a VAT-free sale or later refund is possible.

Lack of export experience can cause delays, invoice corrections and disproportionate documentation costs.

7. Ask about complaints before one is needed

Find out who receives complaints, which photos and documents are required and whether the shop supports communication with the manufacturer. For goods shipped abroad, discuss the transport of replacement parts or products.

A responsible supplier does not promise that no issue will ever occur. It explains clearly how issues are handled.

8. Document collection and delivery

Check the number of packages and visible damage.
Photograph products, labels and packaging.
Record delivery dates and shortages.
Keep packaging until the product is inspected.
Report transport damage as quickly as possible.
