When the lowest price does not mean the lowest total cost

The story of customers who found very inexpensive furniture but discovered that the full transaction cost was much higher than expected.

An attractive offer that looked perfect

A group of our customers planned to buy a very large quantity of furniture for their project. They found a store with genuinely attractive prices. With an order of this size, even a small unit price difference mattered, so the offer immediately caught their attention.

At first, the process seemed simple: choose the products, pay and arrange transport to Iceland. Only during the discussions with the store did it become clear that the most difficult part would begin after the order was placed.

Conditions that changed the economics

The store was not prepared for standard service of an international customer. The customers were told to buy the goods with Polish VAT and then fly back to Poland with the documents to sign the refund papers in person. The refund would also be reduced by the operator's commission.

Recovering part of the VAT sounded attractive, but the full cost had to be calculated: another flight, hotel, local transport, time away and daily expenses. Once these costs were added, the second trip could cost more than the actual VAT benefit.

The store also offered no additional discount, no long-term storage and required collection or delivery within Poland within seven days. For a large order that needed to be combined with goods from other suppliers, this deadline was very difficult to fit into the overall shipping schedule.

The cheapest product is not always the cheapest transaction

The product prices were very good, but the service model transferred many hidden costs and obligations to the customers. Once we added the extra trip, VAT refund commission, lack of discount, lack of storage and the risk of additional handling, the price advantage quickly became much smaller.

This was a clear example of why international purchases should not be compared only by invoice price. Tax treatment, logistics, storage time, documentation and the ability to consolidate orders are equally important.

A solution through a trusted partner

We found a solution that complied with commercial and tax rules. The purchase was arranged with the support of a trusted partner company that could process the transaction correctly, receive the goods and include them in the subsequent export process.

This allowed the furniture to be collected within the required deadline without forcing the customers to make another trip to Poland. The goods were placed in storage and safely waited for the remaining items and the consolidated shipment.

We use a similar model when a supplier has limited ability to handle exports directly. In such cases, procedures are not bypassed. The transaction is organised through an entity that can legally and correctly take responsibility for the purchase, documentation, storage and onward export.

The result

The customers kept access to attractive prices while avoiding an additional trip, unnecessary costs and the pressure of a seven-day collection deadline.

The goods were stored and later shipped together with the rest of the purchases. The process became simpler, more predictable and safer for the customer.

What this case taught us

The most important question in a large international purchase is not only where the product is cheapest. The better question is how much the full journey from order to delivery in Iceland will cost.

Product price is only one element. VAT, storage, collection deadlines, transport, documents and coordination between suppliers can determine the final result.
